Thanks so much for your interest in becoming an exhibitor at Creation Northwest 2014. Each year, the exhibit area does not disappoint in providing a rich variety of apparel, merchandise, Christian colleges, and ministry opportunities. For those of you who are interested in becoming one of those exhibitors at Creation Northwest 2014, please feel free to browse the Pricing and Options, FAQs, along with the Terms and Conditions. After looking them over, click on the “Exhibitor Signup” button at the bottom of the page to submit your application for approval. We are looking forward to a great festival this summer!

If you are looking to become a food vendor at Creation Northwest, we do not have additional needs at this point.

EXHIBITOR PRICING AND OPTIONS

Exhibit Space Options

  • 8′ X 8′ EXHIBIT SPACE – $775: Retail commission of the TOTAL GROSS Revenue versus the Exhibit deposit. Final payment and percentage is due 10:00PM, Saturday, June 28th. Refer to item two under the Agreement section in the terms and conditions page. Balance-in-full is due upon submission of application.

For example, if your ordered one (1) booth and your Gross Revenue is $10,000 with a percentage of *25%, it would look like this: $10,000 X 25% = $2,500. Take that $2,500 – $775 (booth fee paid) = $1,725 due Creation.

  • 8′ X 10′ EXHIBIT SPACE – $900: Retail commission of the TOTAL GROSS Revenue versus the Exhibit deposit. Final payment and percentage is due 10:00PM, Saturday, June 28th. Refer to item two under the Agreement section in the terms and conditions page. Balance-in-full is due upon submission of application.

*Percentages are either 25% or 30%.  A general rule: if you are selling apparel, the percentage is 30%.  Almost everything else is 25%.

Miscellaneous Options

  • ELECTRIC (Two 110 Outlets) – $80.00: Overhead lighting will be provided
  • 8′ TABLE – $50.00: Tables are not provided unless ordered.  You may bring your own if you choose.
  • CHAIR – $15.00: Folding chairs are not provided unless ordered.  You may bring your own if you choose.
  • ADDITIONAL REGISTRATION (MAX OF 5 PER SPACE) – $75.00: Two (2) free registrations will be given per exhibit space that is ordered. Up to 5 additional registrations are available at a discounted rate of $75.00 each.

The exhibitors are typically located in a warehouse-type building (concrete floors) within the main stage arena area. You can certainly request a space, but please know that EVERYONE would like a corner booth where there is the most traffic. That being said, we try not to put two exhibitors next to or near each other if they have the same products being sold. Please also know that preference in location is given to those who have been to Creation consistently over the years.
Our booth sizes are either 8X8 or 8X10. Yes, we are pretty strict on this, so please don’t try to rent an 8X8 space with the thought of using a 10X10 exhibit frame for selling. It won’t work, so please save yourself the frustration. The space you are given is empty for you to fill as you please…within the boundaries!

CREATION NORTHWEST TERMS AND CONDITIONS

ACCOMMODATION INFORMATION – Exhibitors will receive a free optional campsite at Creation 2014 Northwest. These sites are extremely limited and will be assigned after approval, but prior to the festival. Please note that electrical, sewer and water hookups are NOT available. LEGAL – Creation Festivals, LLC, Come Alive International, Inc., City of Kennewick, WA, Benton County Fairgrounds, WA and/or His Works Holdings, LLC shall not be responsible for any loss, damage, or injuries that may occur to the Exhibitors, their property or the Exhibitor’s employees, from any cause whatsoever, prior to, during or subsequent to the period covered in this agreement. This agreement releases officers, agents, volunteers, and employees of The Creation Festivals, LLC, Come Alive International, Inc., City of Kennewick, WA, Benton County Fairgrounds, and/or His Works Holdings, LLC from any responsibility and Exhibitor agrees to indemnify the same against any and all claims for loss, damage or injury. If approved, Exhibitor will be required to submit the following to Creation: 1. Liability insurance with Creation listed as Additionally Insured. 2. List of onsite personnel. 3. List of vehicle(s) and tag number(s). 4. Cell phone number of onsite representative. Creation will provide their own insurance coverage. Application must be submitted along with samples and a price list must be received WITHIN 30 DAYS OF THE APPLICATION SUBMISSION DATE. Space is limited; Exhibitors are encouraged to register prior to the deadline. An email will be sent upon application approval with additional information. Creation 2014 Northwest to provide the following: 8′x8′ or 8′x10′ exhibit spaces, Two Total Event passes for exhibit operators per booth, Optional pre-assigned camping in a preferred onsite location, Onsite load-in and load-out pass for one vehicle, 24-hour security, One Exhibitor parking pass for campsite, or day/eve parking. Exhibitor to provide Creation no later than 30 days from submission date: Properly filled out application with payment (refundable if not approved, but NONREFUNDABLE after 7 days for approved Applications), Signed copies of the Exhibit Application & Rental Agreement, emailed copies/samples/literature/price lists of all materials and merchandise to be sold or handed out. This agreement is based upon a spirit of cooperation between the party mentioned under Exhibit Operating Name, herein referred to as Exhibitor, and The Creation Festival, herein referred to as Creation. STATE UBI NUMBER – EVERY RETAIL EXHIBIT OPERATOR MUST REGISTER WITH THE STATE OF WASHINGTON, DEPARTMENT OF REVENUE. If you do not have a State UBI number, you can contact the Department of Revenue: (206) 727-5327.

EXCLUDED ITEMS – The Creation Festival logo and name are our trademarks. The Creation Festival Administration thereof strictly prohibits use of them or any likeness without express written approval.

Creation Festival has an exclusive on the following, and your exhibit is not permitted to sell those items:

  • Glow or “Blinky” products or
  • Food or drink items of any kind.
  • For those exhibits selling Music products, an additional contract disclosing our music policy will be sent to you after approval.
  • Those vendors who are selling jewelry are NOT permitted to sell any type with spikes or jagged edges protruding from the piece.
  • Pacifiers are not permitted onsite.

SALES PERCENTAGE AND SALES TAX – The sales commission due to Creation should be figured on the TOTAL Gross Revenue made by Saturday, August 2nd, 2014 at 10:30PM. The cost of your basic exhibit booth fee will be deducted from this percentage. For example: Gross Revenue = $10,000 x .30 = $3,000.00 minus $775.00 Exhibit booth fee = $2,225.00 (final payment owed to Creation) For accounting purposes, sales are considered any currency accepted by an Exhibitor at Creation for an item, service or donation. DO NOT leave the festival without settling with the Exhibit Coordinator. Even if you do not owe money, we still need to get information from you. Settlement will begin at 10:30PM Saturday night. To expedite the process, please have your Account Settlement form completely filled out prior to coming to settlement. You are responsible for collecting any applicable taxes (refer to the above number). The Festival will not assume responsibility for state, local, or federal inspection or taxes required. At settlement, you are required to submit 100% of your sales, after taxes. From that sum, you will then be charged your exhibits pre-disclosed percentage. Once taxes have been paid after Creation 2014, you can submit proof of payment to our offices, and we will grant to you a refund on the taxed amount we charged from the percentage. Percentage due is determined when application is received and will be between 25% and 30%. Percentage is based on type of merchandise and purpose of exhibit.

LOAD-IN & LOAD-OUT – Upon arrival all Exhibitors are asked to check in with the Exhibit Supervisor. Exhibitors will then be given their onsite packets and shown their exhibit location. Upon receipt of payment and the completed Agreement and Application, you will be issued one onsite Exhibitor Vehicle pass to be used for load-in and load-out only. Parking will be available in a designated area, to be determined at a later date, for one vehicle with the Exhibitor Vehicle Pass. Additional vehicles must remain at Day/Evening parking located at the front gate. Exhibitors may begin setting up around 9:00AM on Wednesday July 30th. The Exhibit area will be open to the public around 4:00PM, Wednesday, July 30th through Saturday, August 2nd. The Exhibit area will close each evening during the main stage speaker for approximately one hour. A more detailed schedule will be supplied at the festival. Exhibitors may drive to the Exhibit area and unload materials, then, they must park their vehicles and return to the Exhibit area to complete setup. Exhibitors can begin manual load-out after 9:00PM on Saturday, August 2nd. Security is not provided Sunday, August 3rd. Please make arrangements to have any remaining product that is to be shipped, removed from the grounds by Monday, August 4th. Hand-trucks and golf carts are not available for Exhibitors. You are not permitted to park alongside, around, or near the exhibit buildings. Any vehicles parked in the exhibit areas for a prolonged time will be towed. You are permitted to park ONE vehicle at your campsite. Additional vehicles are to be parked at day/evening parking. There are no exceptions to this policy and it will be strictly enforced!

SHIPPING INFORMATION – Creation will not ship any of the Exhibitor’s products to or from the event. Product and supplies may be shipped to the festival grounds prior to the event; however, shipments should not arrive prior to Friday, August 2nd. Address packages as follows:

Again, all remaining supplies must be removed from the grounds no later than Monday, August 4th.  All Exhibitors are responsible for their items. Any merchandise not collected will be considered refuse and will be disposed of.

SETUP & EXHIBIT REQUIREMENTS – If any Exhibitor has not arrived by Friday, August 1st at opening, their booth space will be forfeited.  Exhibits must not extend beyond the allotted space. This policy will be strictly enforced, and all exhibitors are expected to comply. Aisles must be kept clear. Any Exhibitor using sound equipment, including video, should keep the volume confined to their exhibit boundaries as to not distract other Exhibitors. Materials or literature may not be sold or distributed outside of your exhibit space and must be from your organization only. Materials and/or literature that are distributed outside of the Exhibitor’s space will be confiscated and disposed of. If this application does not accurately represent your products/merchandise, we reserve the right to confiscate all items. The festival reserves the right to inspect and approve or reject all literature and materials both prior to and during the festival. Due to possible conditions that may be beyond our control, i.e. Weather, Natural or International Disaster, etc., Creation guarantees a total of 35 selling hours for the entire festival. If the Creation Festival is postponed for any reason, any deposits retained by Creation will be refunded. Creation will not be responsible for any compensation over and above what was paid to the Creation Festival for registration as an Exhibitor.

SAFETY, SECURITY & FIRST AID – Smoking and alcoholic beverages are strictly prohibited. The Creation Festival Public Safety and the Washington State Police will provide security during the event; however, the festival will not be responsible for lost, stolen, or damaged property.  First Aid and representatives from Emergency Management will be onsite to handle any medical needs.

PHOTO & VIDEO RELEASE – Photographers and videographers will be onsite to document the Creation Festival. Many of these images will be used in the future for promotional purposes. By attending the Creation Festival, you are giving up rights you may have with regard to these photos and will be deemed as having given permission for use of the same. This includes, but is not limited to, Photos, Videos and Audio. As the attendee you grant the Creation Festival, its employees, contractors and all media the right to record, film, tape and photograph for the purposes of promotion and media coverage for the festival. This will include all forms of media including, but not limited to, broadcast, print, email and website usage.

ACCEPTANCE & CANCELLATION – Applications will be received and held for consideration until overall exhibit representation is determined. You will be notified on or before the application deadline. Acceptance is based on quality, type and content of merchandise. If your application is not accepted, your deposit will be returned. There are no cancellations after you have been accepted as an Exhibitor. If you cancel before Friday, May 10th, 2014 or before you have been accepted, your deposit will be refunded, minus a 10% nonrefundable administration fee. If you cancel after you’ve been accepted as an Exhibitor, the total deposit will be retained. Note that ALL refunds will be issued to you after July 7th, 2014. If approved, Exhibitor will be required to submit the following to Creation: 1. Liability insurance with ‘Creation’ listed as additionally insured. 2. List of onsite personnel. 3. List of vehicle(s) and tag number(s). 4. Cell phone number of onsite representative. Creation will provide its own insurance coverage.

ENTIRE UNDERSTANDING / LEGAL – This constitutes the sole, complete and binding agreement between the parties hereto. This agreement may not be changed, modified, or altered except by an instrument in writing signed by Creation Festival. This agreement shall be construed in accordance with the laws of the State of Washington and New Jersey. Applicant shall not have the right to assign this agreement, or any provision thereof. But, Creation shall have the right, from time to time, and at any time, to assign its rights and/or delegate its obligations hereunder, in whole or in part of any person, firm, or corporation working on Creations behalf. Any variances from the above stated guidelines and policies might have bearing on my acceptance and participation at Creation 2014 and at future Creation Festivals. Creation reserves the right not to rent space to any individual, group or company who is not in harmony with the principles and objectives of the Creation Festivals. I have read this entire Exhibit Agreement and agree, in accordance to Washington and New Jersey State law, in keeping with the City of Kennewick, WA, Benton County Fairgrounds, and Creation Festival regulations.
